What is a PMS and why integration matters

PMS (Property Management System) is the heart of every hotel. It manages reservations, check-in/out, rooms, invoices and staff management. The problem arises when the PMS exists as an island: data must be manually transferred to other systems.

Key integrations: what to connect first

1. PMS + Channel Manager (highest priority)

If your PMS is not connected to a Channel Manager, you update occupancy manually on Booking.com, Airbnb, Expedia and other platforms. One oversight equals a double booking equals a negative review.

Modern cloud PMS systems (Mews, HotelTime) have a channel manager integrated directly. For older systems (Hestia, Opera), use middleware such as SiteMinder or Channex.

2. PMS + WiFi (significant impact on guest satisfaction)

Connecting the PMS with a WiFi system (UniFi, Cisco Meraki, Ruckus) enables automatic guest login without paper vouchers or complex password entry. Guests receive WiFi access at check-in: either via email or simply by having it work without a password after logging in.

This integration is still rare in the Czech Republic, yet it is one of the easiest to implement and will pleasantly surprise guests. Implementation typically takes 1-2 days; the price ranges from 15 000 to 40 000 Kč depending on the scope.

3. PMS + Accounting (Pohoda, ABRA, Money)

Without integration, the accountant manually rewrites invoices from the PMS into the accounting system. With 50 rooms and an average stay of 2 nights, this means over 750 invoices per month.

Modern PMS systems (Mews, HotelTime) export accounting records in the Pohoda XML or ABRA JSON format. Connector setup takes 2-4 hours; thereafter, everything runs automatically.

4. PMS + Payment Terminal

With separate systems, receptionists manually enter the amount from the PMS into the payment terminal. Integration eliminates these steps and prevents errors (a typo in the amount causes chaos).

In the Czech Republic, integrations with Ingenico, Verifone and more recently SumUp/Stripe terminals are available for card payments. Some PMS systems (Mews + Stripe) have this connection native, while others require configuration.

5. PMS + UBYPORT (mandatory for Czech hotels)

The law requires accommodation facilities to report foreigners to the Foreign Police within 3 days. UBYPORT is an electronic system for this reporting. Manual transcription is time-consuming and prone to errors.

Most Czech PMS systems (HotelTime, Previo, Hestia) include UBYPORT integration either in the base price or as an optional add-on. Verify whether your PMS supports this, failure to comply can result in a fine of up to 50 000 Kč.

    Audit of the existing PMS - find out what API or export functions your PMS offers. Every modern cloud PMS has an open API (REST/HTNG). Older on-premise systems may only support export to CSV or XML.

    Prioritisation - The channel manager and accounting bring the greatest time savings. Start with them. WiFi integration is then an attractive bonus for guests.

    Choosing middleware or native integration - For modern PMS systems, look for native connectors (they are cheaper and more reliable). For legacy systems, use middleware such as Apaleo or Channex.
